Please indicate who from NCSA will be attending. The following topics will be discussed: What is the time period for the quotes- do they cover a fiscal period? The duration of the quote will determine whether either or both of these transactions has to go to the BOT for approval. Additionally, are there renewal provisions in any of the quotes and if so, what happens to the costs for each of the available renewal periods? Are the development services related to the same software that is being licensed and maintained? On the software licensing and maintenance, we would expect that there would be a licensing agreement and we will need a copy of the pertinent agreement. If there is no such standard agreement available from THG, then one will need to be developed outlining the terms. Any new software licensing agreement will need to be consistent with the terms provided in the agreement that transferred the copyright of HDF software to THG. University policies and procedures, bid limits, sole source requirements and Board of Trustees threshold Please have everyone bring all relevent paperwork and their calendars to set additional meetings which will probably be necessary. I have been working with Purchasing to get all necessary groups involved in this next meeting. As you pointed out, OTM's part in all of this is really minor - making sure that IP terms follow our existing IP agreement with THG and any software service agreement related to new contracts between THG and NCSA. However, we need something to review and therefore need NCSA's attendence at the meeting. I spoke with Purchasing on Friday and they are contacting NCSA. As you may know, NCSA has had spend a lot of their attention and energy on the NSF Petascale Track 1 which made things a bit crazy for them. Now that they won the award, I assume they should be able to provide more focused attention to this. Purchasing and OTM can not do this without the vital basic input from NCSA. I will let you know if Purchasing was able to get someone from NCSA to the meeting time tomorrow or if it will have to be another day. Thanks for your patience.
